This policy explains what personal data Humainly collects when you use behumainly.com, why we hold it, who we share it with, and the rights you have over it. It sits alongside our cookie policy, which lists the specific cookies we set.

Humainly is the data controller for the personal data described here. You can reach us at privacy@behumainly.com.

The short version

• We collect only what we need to answer you, to run the site, and to improve it.
• Analytics and marketing tools stay off until you allow them.
• We never sell your personal data, and we never use your coaching conversations to train models for anyone else.
• You can ask us for a copy of your data, or ask us to delete it, at any time.

What we collect on this website

• What you tell us. When you enquire, join the early list, apply to coach, subscribe to the blog, book a walkthrough or talk to Ari, we collect what you type: usually your name, your email address, your organisation, an approximate team size, and anything you choose to add.
• How you found us. Where your consent allows it, we record the campaign, search or link that brought you here, the first page you landed on, and your referring website. This tells us which of our efforts are worth continuing.
• How the site is used. Where your consent allows it, we record pages viewed, clicks on the things we are testing, and technical details such as browser, device type and approximate location from your IP address.
• Conversations with Ari. Messages you send to our website assistant are processed so it can reply, and are retained so we can improve the answers.
• Essential technical data. Server logs and security records that let us keep the site available and defend it from abuse. These run whatever your cookie choices.

Company identification

With Marketing consent, we may use a business identification service that estimates the organisation a visitor is browsing from, based on the IP address the visit came from. This tells our team that a company has been looking at Humainly. It does not identify you personally unless you have given us your details yourself, and it does not run at all unless you have allowed Marketing cookies.

Why we are allowed to hold it

• Consent. Analytics, marketing measurement, company identification and the early list all rely on the choice you make in our cookie banner or by giving us your email. You can withdraw consent at any time.
• Legitimate interests. Replying to a business enquiry, keeping records of the conversation, keeping the site secure, and preventing abuse. We balance this against your interests and keep the data proportionate.
• Contract. Where you are becoming a coach or a customer, processing that is necessary to put the agreement in place.
• Legal obligation. Where we have to keep records for tax, accounting or compliance.

Who we share it with

We share personal data only with the providers who help us run Humainly, and only for the purposes described here. Each one is bound by a data processing agreement.

• Hosting and delivery. Vercel hosts this website and its serverless functions.
• Product analytics. PostHog, used with EU hosting, to understand how the site is used. Analytics consent only.
• Web analytics and tag management. Google Analytics 4 through Google Tag Manager, with Google Consent Mode applied. Analytics consent only.
• Advertising measurement. Meta, LinkedIn and Google Ads measurement tags, so we can see which campaigns bring people here. Marketing consent only.
• Company identification. A business identification provider, as described above. Marketing consent only.
• Customer records. HubSpot, where we keep enquiries and the conversation that follows.
• Email. Resend, which sends your confirmation and any list email you have asked for.
• Team alerts. Slack, so the right person sees a new enquiry quickly.
• Website assistant. Anthropic, whose Claude model generates Ari's replies. Anthropic does not use this content to train its models.
• Scheduling. Google Calendar and Google Meet, used to create your walkthrough invite when you book one.

We may also disclose data where the law requires it, or to establish or defend legal claims.

Where your data goes

Some of these providers are based outside the United Kingdom and the European Economic Area. Where data is transferred, we rely on the UK International Data Transfer Addendum or the European Commission's Standard Contractual Clauses, together with additional safeguards where they are needed.

How long we keep it

• Enquiries and customer records: for the length of the relationship and up to six years afterwards, for legal and accounting reasons.
• Early list and blog subscribers: until you unsubscribe or ask us to remove you.
• Coach applications: up to twenty four months, so we can come back to you if something suitable opens up. Ask us and we will delete it sooner.
• Website analytics: up to twenty six months.
• Assistant conversations: up to twelve months.
• Security and server logs: up to twelve months.

Your rights

Under the UK GDPR and the EU GDPR you can ask us to give you a copy of your data, correct it, delete it, restrict how we use it, or send it to another provider. You can object to processing based on legitimate interests, and you can withdraw consent at any time without affecting anything done before you withdrew it.

Email privacy@behumainly.com and we will respond within one month. If you are not happy with our answer you can complain to the Information Commissioner's Office at ico.org.uk, or to your local supervisory authority in the EEA.

Nothing beyond the essentials runs until you choose. You can change your mind whenever you like.

Coaching conversations inside the product

Humainly the product is built so that the conversations a person has stay with the person who had them. Each person approves what their human coach sees before a session. Organisations see growth and themes at team level and never individual conversations. Conversations are never sold, and never used to train models for anyone else. Our security page sets this out in full.

Children

Humainly is built for working adults. We do not knowingly collect data from anyone under 18. If you believe we have, tell us and we will delete it.

Changes

If we change this policy we will update the date at the top, and we will tell you directly where the change is significant.
